You’re comfortable with self-management and don’t need constant direction to stay on track.


You understand prioritization: knowing what needs attention first, what can wait, and how to keep things moving in the right order, even when things get busy.


Finally, you’re fluent in English, comfortable communicating with people from many backgrounds, and excited to contribute to a shared environment built on connection, care, and presence. Proficiency in Portuguese is a huge plus!


Responsibilities


This role is about building structure, creating systems, and helping Wild Souls operate smoothly day to day, while actively nurturing the community atmosphere.


Operations & Systems

  • Design and implement a clear onboarding process for volunteers.

  • Manage and coordinate volunteers and their schedules and responsibilities.

  • Create and maintain systems for:

    • Guest check-ins and check-outs

    • Inventory management

    • AL license compliance (tourist taxes, SIBA registration, required records)

  • Create simple, repeatable processes that can be handed off and scaled.

Reservation, Guest & Communication Systems

  • Audit current reservation, guest management, and communication workflows to identify gaps, friction points, and redundancies.

  • Design and implement clear, repeatable systems for:

    • Reservation management and availability tracking

    • Guest profiles and stay history

    • Check-in and check-out coordination

    • Guest communication before, during, and after stays

  • Create standardized communication templates and guidelines (inquiry responses, booking confirmations, pre-arrival messages, house orientation, check-out messages).

  • Establish a single source of truth for guest and reservation information.

  • Improve handoff and continuity between hosts, volunteers, and contractors.

  • Ensure systems support a warm, human guest experience while reducing admin overhead.

  • Document all processes clearly so they can be easily followed and handed off to volunteers or future staff.

  • Recommend tools, automations, or lightweight software solutions where appropriate (with a bias toward simplicity).

  • Train hosts and key volunteers on new systems and workflows before contract completion.

Vendor & Partner Coordination

  • Coordinate with vendors and service providers, including:

    • Cleaners

    • Laundry services

    • Surf schools

    • Accountants

    • Other suppliers or contractors as needed

  • Ensure services are delivered on time and to expected standards.

House Management & Maintenance

  • Respond to and help resolve small maintenance issues within the house.

  • Ensure the space stays functional, welcoming, and well cared for.

  • Run occasional errands for supplies or other house needs.

Finance & Administration

  • Create system to track monthly spending and budgets.

  • Organize and submit monthly receipts to accountants in a timely manner.

  • Support general administrative needs related to smooth operations.


Compensation

In exchange for the work described above (estimated at 30–35 hours per week), we offer the following compensation package:


  • Private room with shared bathroom at Wild Souls

  • Daily breakfast provided

  • Access to shared surf and sports equipment when available

  • €1,000 per month in financial compensation

  • A comfortable bed, epic kitchen, and productive coworking space


We can commit to an initial 3-month contract, with the possibility of extension or transition to a part-time role based on mutual fit and needs. Payment can be made via Portuguese green receipts (recibos verdes). Schedule to be determined upon hiring.
